QIO PERSPECTIVE / PROCESS & AUTOMATION

Before you automate it, question it.

A faster version of a bad process is still a bad process.

Start with the handoff

Follow one piece of work from beginning to end. Write down where someone waits, re-enters information or checks something that has already been checked. Ask what purpose each step serves.

Distinguish rules from judgement

A stable rule can often be handled without AI. Ambiguous information may benefit from assistance, but the required validation and accountability remain part of the design.

Remove, simplify, then connect

Try removing the unnecessary step before looking for a tool. Where a connection is useful, test a bounded workflow, including exceptions, before extending it.

Choose something you can measure

Agree the baseline, error rate and operating owner. A useful improvement should still work when its original champion is on leave.
